A small media market rewards patience over volume

The number of outlets that genuinely matter to an organisation here is modest, and the journalists covering any given sector can often be counted on two hands. That changes the economics of public relations here completely. Sending a hundred emails is pointless; knowing six people properly is the whole job.

It also means reputations travel. A supplier who burns a contact with an exaggerated pitch does not get that relationship back, and neither do you. When you compare firms, ask less about the size of their distribution list and more about who they speak to weekly, what those people cover, and when they last declined to pitch a client story because it was not a story.

Public relations in Vienna is written in German for a formal readership

Editorial registers here are more formal than the international marketing tone many companies default to, and Austrian usage is not identical to the German written elsewhere. Material translated from English after the fact is recognised immediately, and material adapted from a neighbouring market can read as slightly foreign in ways a native reader notices and cannot always explain.

Ask who writes, where they learned to write, and who checks the final version. If your executives will be interviewed in English, ask how their quotes are handled so that the published version sounds like a person rather than a translated document. This single point separates public relations that gets published from public relations that gets filed.

Institutions, associations and the cultural sector set the tone

International organisations, chambers, associations, universities, museums and cultural institutions make up an unusually large share of the communications work in this city, and their habits shape how public relations is practised and priced here. Approvals go through committees, statements are drafted conservatively, and relationships with stakeholders matter more than campaign creativity.

If you are a commercial company, that background can be an asset or a mismatch. It produces careful teams who understand protocol and complex approval chains, and it can produce slow ones. Ask for two examples from the past year in your sector, and ask how quickly they have turned around a reactive statement for a client under pressure.

Print and broadcast still carry weight here

Daily and weekly print titles retain influence with decision makers, and radio and television interviews still shift perception among audiences that no social feed reaches efficiently. Several international teams underinvest here because their global playbook was written for markets where print declined faster.

Ask when the supplier last placed a broadcast interview and for whom, and how they prepare a spokesperson for one. Ask the same about long form print features, which require a different pitch, a longer lead time and a willingness to give a journalist real access rather than a prepared statement.

Advertorial is offered routinely and should be labelled honestly

Paid content, sponsored supplements and partner formats are a normal part of the commercial landscape, and they can be a legitimate choice. The problem starts when they appear in a monthly report as earned coverage, which makes the programme look productive while telling you nothing about whether your story can stand on its own.

Require reporting that separates the two, and ask which placements in a past campaign carried a fee. Ask also how the team responds when a publisher requests payment after agreeing to cover a story, because the answer reveals their working practice more reliably than any credentials document.

Conflicts of interest in a market this concentrated

With a limited number of significant players in most sectors, the chance that a consultancy has worked for an organisation close to yours is high. That is not automatically a problem and it can even be useful, but it needs to be visible.

Define in writing what counts as a competing account, ask what the firm currently holds in your sector, and agree how a conflict arising mid contract will be handled. In a small market this conversation is routine, and a supplier who is uncomfortable having it is telling you something.

Fees, hours and the shape of a retainer

Monthly retainers suit continuous public relations and reputation work where relationships need maintaining. Project fees suit launches, reports and campaign moments. Day rates suit training, interim cover and incident support. The usual failure is a retainer that nobody revisits, so that the eleventh month repeats the second.

Ask for the hours behind the figure and who spends them, set a review point, and agree what happens in a month with no announcement and in a month with an incident. Settle ownership at the same time: media lists, message frameworks, approved biographies, imagery with its licence terms and the coverage archive, with a notice period and a handover pack.

Comparing candidates without comparing presentations

Give every firm the same brief and the same response template, with public relations counsel, media relations time, German writing, broadcast preparation, crisis cover and reporting priced separately. Read the answers next to each other, and ask each candidate which part of your plan they would remove.

If the objective also depends on always on channels or production, compare digital marketing suppliers working in this city and motion and video studios here before committing the whole budget to one retainer. If your programme needs coverage beyond this market, the same exercise for firms in the large southern German market gives a sense of rates and capacity. The directory of public relations firms shows who is listed, and once the brief is ready you can send it to several of them together.
